Setting Up Your Greenhouse and JobMinglr Integration in 20 Minutes

The Greenhouse and JobMinglr integration is faster to set up than most recruiting tools. Here's the exact process, step by step, so you know what to expect before you start.

One of the most common things we hear from recruiting teams before they set up the Greenhouse and JobMinglr integration is that they're worried about the time and complexity. Given how much friction surrounds most software integrations, that's a reasonable concern. But this one genuinely takes about twenty minutes, and most of that is waiting for sync confirmation.

Here's the actual setup process, start to finish.

Step one: generate your Greenhouse API key

Log into Greenhouse as an admin. Navigate to Configure, then API Credentials, then Create New API Key. You'll name the key — something like "JobMinglr Integration" — and select the permission scopes you want to grant. At minimum you'll need read access to jobs and write access to prospects or applications depending on how you want matched candidates to enter your pipeline.

Copy the API key immediately — Greenhouse only shows it once. Then head to your JobMinglr employer account, navigate to Integrations, select Greenhouse, and paste the key in the designated field. Hit connect.

Step two: configure job sync

Once connected, JobMinglr pulls your active job requisitions from Greenhouse. By default, all active jobs are eligible for matching. In your JobMinglr settings, you can specify which roles you want to include in matching, set match score thresholds by role, and define how matched candidates should enter Greenhouse — as prospects, as applicants, or staged for manual review.

The initial sync takes a few minutes. After that, new roles you open in Greenhouse appear in JobMinglr automatically, typically within 15 to 30 minutes of being activated.

Step three: test the pipeline

Before going live, run a test match through the system. JobMinglr provides a sandbox candidate feature that lets you simulate a mutual match and verify the candidate lands correctly in Greenhouse with the right field mapping and source tag. Check that the match score transfers, the source attribution is labeled correctly, and the candidate appears in the right pipeline stage.

If you're using Greenhouse interview kits or scorecards, verify those are attached to the role correctly — JobMinglr candidates entering your pipeline will follow the same interview process as other applicants from that point forward.

That's it. Once the test match validates, you're live. The first real matched candidates typically start appearing within 24 to 48 hours as the matching engine runs against your newly synced roles.

What to monitor after launch

In the first week, check your Greenhouse pipeline daily to see incoming JobMinglr candidates and confirm the source tagging is clean. After that, a weekly review of match volume and conversion rates is enough for most teams. Your JobMinglr account dashboard shows match activity in real time, and Greenhouse sourcing reports will reflect JobMinglr as a distinct channel once candidates start converting.
