Clearance: Must be able to successfully complete a background investigation Position Overview PBG is seeking a professional Administrative Assistant to provide comprehensive administrative support services to OSHA’s Office of the Assistant Secretary and National Office Directorates. This is an onsite, in-person role located in Washington, DC. This position is covered under the Service Contract Act (SCA) and is classified as non-exempt, hourly.
The selected candidate will be responsible for performing high-level administrative and executive support functions in a federal environment, ensuring compliance with Depart Next ment of Labor (DOL) procedures and federal guidelines. The ideal candidate will demonstrate professionalism, discretion, strong communication skills, and experience supporting senior leadership in a structured, compliance-driven environment.
Key Responsibilities
Executive & Calendar Management Maintain Directorate and Agency leadership calendars, including meetings, conferences, teleconferences, and leave calendars. Coordinate office events and provide logistical support for internal and external meetings. Attend meetings and provide verbal and written summaries as requested.
Prepare conference and event materials. Financial & Administrative Support Process and set up accounts payable invoices in DOL’s New Core Financial Management System (NCFMS) in accordance with federal guidelines. Order and maintain office supplies following Federal procurement procedures.
Maintain office equipment (scanners, copiers, fax machines); coordinate repairs and preventive maintenance. Records & Systems Management Review and update OSHA Directives using Microsoft Word and Excel. Maintain records management information within ARCIS (Archives and Records Centers Information System).
Create, route, and track training registrations and completions in Learning Link (DOL’s electronic training system). Create, maintain, and update data within OSHA program office databases. Manage electronic and paper filing systems in accordance with federal records management standards.
Correspondence & Communication Receive, review, assign, and track controlled correspondence in DOL’s Correspondence Tracking System (CTS), ensuring readability and quality. Manage incoming and outgoing calls using Cisco CP-8811 multi-line telephone systems. Provide general information to callers and visitors; professionally represent the office at all times.
Required Qualifications
Minimum 7years of administrative or executive support experience, preferably within a federal agency. Experience working with federal financial, records, or correspondence tracking systems preferred (NCFMS, ARCIS, CTS, Learning Link). Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent written and verbal communication skills. Ability to maintain professionalism, confidentiality, and discretion in a high-visibility executive office. Ability to work onsite in Washington, DC on a full-time basis.
